Smart Spaces

From the site structure menu, you can navigate to Spaces, Smart Spaces, Space Settings, or Topic Settings sub menus

Overview

Smart Spaces allow you to pull together content based on filters related to different topics, content types, and specific spaces. A single page holds all the selected content into one space in the community UI. You cannot post content to a Smart Space. Only matching content from your pre-defined filters will display in a Smart Space.

Admin Actions Available from the Smart Spaces Menu

  • Add a New Smart Space
  • Configure Filters for a Smart Space
  • Edit a Smart Space
  • Delete a Smart Space

Add a New Smart Space

On the Smart Spaces page

Click the "ADD SMART SPACE" button.
Result: The Create Smart Space page will display.

On the Create Smart Space page

  1. Enter a name for the your Smart Space in the Name field
  2. Select Choose a File in the icon section. Your file manager will display and you can select the image file for the new smart space icon.
    To reset the icon to default, select the Reset to default checkbox.
  3. To customize the appearance of the Smart Space, select Advanced Settings and enter any CSS in the Additional CSS text field.
  4. Click the SAVE button.
    Result: On the Smart Spaces page, the new Smart Space displays in the table under "Manage Smart Spaces".
  5. You should set up the filters immediately after creating the new space, as this will populate the smart space with content.

Configure Filters for a Smart Space

On the Smart Spaces page

Select the Manage link.
Result: The "Manage Filters: [Space Name]" will display.

On the Manage Filters: [Space Name] page

In the first drop-down:

Select either Is of Type, Contains Topic, Matches Any Topic, Is in Space, Is in Space or Sub-space, or Is Not in Space to determine what the second drop-down will display.

The first drop-down options are as follows:

  • Is of Type: Allows you to select one of the content types to filter the smart space to include only that type of content.
  • Contains Topic: Allows you to type in a specific topic tag to filter the smart space to include only that topic tag.
  • Matches Any Topic: Allows you to type in a comma separated list of topic tags to filter content by that list of topics.
  • Is in Space: Allows you to select a space for content to pull into the Smart Space.
  • Is in Space or Sub-space: Allows you to select a space or sub-space for content to pull into the Smart Space.
  • Is Not in Space: Allows you to select a space to exclude from the content that will pull into the Smart Space.

In the second drop-down:

Whether you have a text field or another drop-down in the second column, depends on your selection in the first drop-down:

  • The Type selection will have a drop-down to select the type of content.
  • The Topic selections will have a text field to enter topic information.
  • The Space selections will have drop-downs to select spaces and or sub-spaces.

To Add or Remove a Filter

  • Click the addition (+) button to add a filter.
  • Click the subtraction (-) button to remove a filter.

Edit a Smart Space

On the Smart Spaces Page

From the table of spaces, locate the desired smart space to edit and then select the pencil icon from the third column on the right.
Result: The "Edit Space: [Space Name]" Page will display

On the Edit Spaces: [Space Name] Page

Changes can be made to:

  • Name field
  • Icon, by choosing a file to replace or upload a new image or by selecting the Reset to Default checkbox to remove the current icon without uploading a new one.
  • Description field
  • Advanced Settings to include Additional CSS

Click the SAVE CHANGES button after applying the changes.

Delete a Smart Space

Deleting a Smart Space is a permanent action and cannot be undone.

On the Smart Spaces Page

In the table of Spaces, locate the desired smart space to delete, then select the trashcan icon from the third column on the right.
Result: The "Are you sure?" modal window will display.

Click the YES button to delete the smart space.
Result: A green bar that reads "The smart space was deleted successfully" displays at the top of the Smart Spaces page.

Results in the Community UI due to Admin Settings

  • The created Smart Spaces will show up above the "normal" spaces, with the titles the Admin created.
  • The type of information shown in the Smart Spaces is determined by the filters chosen in the Admin Console.
